The challenge.

The Y has served its rural Tennessee community since 1992 from a historic building that was once an elementary school. Early mornings bring workers before their shifts, mid-mornings bring retirees, and afternoons bring students, so it has several very different audiences to keep informed.

For years memberships were managed on paper cards, and communication was just as manual. A small team needed a way to reach every group reliably, without spending its days on the phone.

  1. Start with one needTimely updates to summer camp parents.
  2. Connect the member dataMembership software synced with Constant Contact.
  3. Send two newslettersOne general, one for older members.
  4. Use email for serviceProactive updates before members have to call.

What they did.

Two monthly newsletters · Membership software integration · Welcome email · Member service updates

Started with summer camp
The Y first used Constant Contact email to send timely updates to the parents and caregivers of its summer day camp.
Connected the membership system
Its membership and registration software now syncs with Constant Contact through an integration, so member lists stay current without manual exports.
Two newsletters for two audiences
A general newsletter covers updates and upcoming programs; a second one lists events just for the Y’s group of older members.
Proactive service emails
When a billing problem came up, one email told members what had happened before they had to call, which avoided what the team expected would be a thousand phone calls.

Why it worked.

Our read on the decisions behind the numbers, and what any business can take from them.

Separate lists for separate lives
Seniors, families and working members want different things. Splitting the newsletter made each one more relevant.
Clean data, less work
Syncing the membership system with email meant everyone who wanted updates got them, with no copying lists by hand.
Email is customer service too
A quick, honest update saves staff time and builds trust in a way a marketing email cannot.
Room to grow with automation
With a working welcome email in place, the Y is now adding registration confirmations and personalized welcomes.
