The SaaS marketing agency that bids on trials that turn into accounts
Small business software buyers shop in late summer and fall, compare you with the names they already know, and decide inside a free trial. We plan search, comparison pages, LinkedIn, Microsoft Ads and lifecycle email around that, and we judge every channel by activated trials and paying accounts.
- 6xswing in "crm software for small businesses" searches between July 2026 (1,300) and October 2025 (8,100), US
- 49,500US searches a month for one rival CRM by name, against 4,400 for "crm for small business"
- $24.76low end of the estimated click cost for "hubspot alternatives", against $6.69 for "crm system"

The short answer
What should a SaaS marketing agency be accountable for?
A SaaS marketing agency should be accountable for trials that reach the moment the product proves itself, and for the share of those trials that start paying, at a cost the subscription can carry.
Sign-ups are the cheapest number in SaaS to inflate. In the accounts we audit, the budget usually leaks in three places: broad category clicks from people who will never switch tools, trials that never import a single record, and no data flowing back to the ad platforms about which sign-ups paid. We plan SaaS search ads, comparison and use-case pages for SaaS SEO, LinkedIn Ads, Microsoft Ads and trial email as one acquisition system, and we read it as cost per activated trial and cost per paying account.
What SaaS companies need their marketing to solve.
These are the pressures we see in self-serve and sales-assisted SaaS accounts. They are why a SaaS plan is built differently from an enterprise software plan or a startup’s first campaign.
-
Trials that reach the first win
A trial that never imports contacts or invites a teammate rarely converts. Marketing has to bring people who will get to that moment, and help them get there in the first days.
-
Switchers, not first-time buyers
Most SaaS categories are crowded, so many buyers already use a tool. They search the rival’s name, its price and its alternatives, and they need a clear reason and an easy way to move.
-
A buying season of its own
Each category has months when teams pick tools. For small business CRM, searches climbed from August into October; a flat monthly budget spends evenly through months that are not equal.
-
Payback the subscription can carry
A $40 a month plan and a $400 a month plan cannot pay the same price for a trial. Bids, channels and offers follow what an account is worth over its first year.
-
Product data back in the ad platforms
Google, Microsoft, LinkedIn and Meta only learn what they are told. Activation and first payment, sent back from the product and billing system, are what teach bidding to find more paying customers.
-
Pages for every comparison
Pricing, alternatives and use-case searches land on pages written for them, not on the homepage. Those pages are where SaaS SEO and paid search share the work.
What SaaS buyers search, and when.
US monthly searches and estimated click costs for one SaaS category, small business CRM, from the broad category to the switchers. The yearly averages hide the buying season, so the notes below read the monthly curve.
| Search | Charlotte area / mo | Est. click cost, US |
|---|---|---|
| crm software | 2,400 | $7.14 to $51.57 |
| crm system | 390 | $6.69 to $43.88 |
| hubspot crm | 320 | $15.88 to $230.20 |
| cloud based crm | 70 | $8.67 to $50.09 |
| crm for small business | 50 | $8.96 to $53.12 |
| crm software for small businesses | 50 | $9.51 to $62.12 |
| best crm for small business | 30 | $8.43 to $61.96 |
| sales crm software | 20 | $13.94 to $58.87 |
| hubspot alternatives | 10 | $24.76 to $77.99 |
| sales pipeline software | 10 | $22.06 to $68.44 |
- Small business buyers shop from August to October
- "crm software for small businesses" fell to 1,300 US searches in July 2026, then rose to 6,600 in August; it had reached 8,100 in October 2025. "best crm for small business" peaked at 5,400 in September 2026, against 1,900 in December 2025. "sales pipeline software" went from 140 in November 2025 to 590 in August and September 2026.
- The broad category is shrinking, the specific searches are not
- "crm system" slid from 40,500 searches in October 2025 and March 2026 to 22,200 a month from July to September 2026, while the small business searches above grew. Buyers are arriving with more specific questions, and the specific searches bring the trials that fit the product.
- Rival names and switchers cost the most
- One established CRM brand averaged 49,500 US searches a month, more than ten times "crm for small business". Clicks on a rival’s own name are estimated at up to $230, and "hubspot alternatives" starts at $24.76, about three and a half times the low end for "crm system". Switching intent is where a challenger finds buyers, and it is priced that way.

Our approach: it depends, and the data decides.
A self-serve tool sold by credit card and a sales-assisted platform with annual contracts need different plans. Four things decide where a SaaS plan starts.
- Your goals More trials, more trials that activate, more demos for a sales team, or a lower cost per paying account. Each starts with a different campaign and a different landing page.
- Your timeline Search on switching and use-case terms can produce trials within weeks. Comparison pages, SaaS SEO and review profiles compound over quarters.
- Your price and payback What an account pays in its first year sets what a trial can cost. A low-priced plan leans on SEO, retargeting and email; a higher one can afford switcher clicks and LinkedIn.
- Your competition Against category leaders with big brand budgets, we pick the searches and comparisons where a focused product wins, instead of the broad terms they already own.
Data sets the budget curve for the buying season, ties every trial to the search, page or ad that started it, and shows which channels bring accounts that activate and pay.
Self-serve SaaS
Trials that convert on their own
Search on small business and use-case terms, a free trial page per use case, and onboarding email built around the activation step.
Sales-assisted SaaS
Demos the sales team can close
Switcher and pricing searches, LinkedIn by job title and company size, and CRM stages sent back to the ad platforms as conversions.
Vertical SaaS
Own one industry’s searches
Industry-specific landing pages and SaaS SEO for the trade’s own words, with search and Microsoft Ads on the terms that name it.
If a SaaS company came to us, here is how we would start.
This is the pitch we would give a real client, built for a fictional Charlotte SaaS company with real US search data. The company, its phone number and its website are invented. Sample data shows the kind of results a campaign like this tracks; it is not a client result and not a promise.

How our specialists segment search demand by buyer intent
We would split the account by how close the searcher is to choosing a tool. Each group gets its own budget, its own landing page and its own conversion value, so spend can follow the buying season and the groups that bring paying accounts.

The Facebook ad
Small business owners spend time on Facebook, and most are not searching for a CRM yet. These ads reach owners of businesses with a few salespeople, and retarget visitors who saw pricing but did not start a trial.
The email
Activation decides who pays. Each trial email pushes the one action that predicts conversion, stops once the account does it, and hands active trials to a short sales call before the trial ends.
Your pipeline is ready for real deals
Your trial has 12 days left. The teams that get the most from Quillbarrow import their contacts in the first two days, and it takes about five minutes from a spreadsheet. Prefer we do it? Reply to this email and we will import them for you.
Import my contactsThe landing page the ads send people to
Each keyword group has its own page: small business searches see this trial page, switchers see a comparison page, price checkers see the plans. Each page asks for one thing and answers the doubt that group brings.

SaaS advertising and marketing services, and which come first.
The four core services carry most SaaS plans. The B2B channels join when the price and the buyer justify them; a self-serve tool and a sales-assisted platform rarely need the same mix.

What has worked for SaaS companies.
Results the ad platforms published for SaaS and cloud software companies. They are those companies’ published results, not ours; each story shows what we would take from it.
SaaS marketing from Charlotte, for software sold everywhere.
We are based in Charlotte, where SaaS companies grow from South End offices to University Research Park, and most of our SaaS work is national because that is where the buyers are: under a hundred Charlotte-area searches a month for most small business software categories. Campaigns follow the US market, the time zones the sales team covers and the countries the product supports. We work with SaaS companies nationwide, from the Charlotte region to anywhere in the US.
Six growth leaks we fix in SaaS ad accounts.
When we take over SaaS accounts, these are the places we most often find trials and revenue leaking, and what we change first.
Optimizing for sign-ups
When every trial counts the same, bidding finds people who sign up and never return. We send activation and first payment back to Google, Microsoft, LinkedIn and Meta, so bidding works for the accounts that pay.
Spending evenly through the year
Small business CRM searches in 2026 dipped in July and climbed from August into October. We set a monthly budget curve from the search data and keep retargeting warm in the slow months.
Paying for the whole category
Broad terms like "crm software" bring enterprise researchers, students and existing users of other tools. We start with exact match on the searches that describe the product, and widen only when trial data says it pays.
Sending switchers to the homepage
Someone searching for an alternative wants a comparison and a way out of the old tool. We build a page for each comparison, offer the migration, and keep rival trademarks out of ad text where the ad platforms’ trademark policies restrict them.
Trial email that ignores what the user did
A fixed day-by-day sequence nags active users and misses stuck ones. We trigger each message from product events, stop when the step is done, and pass active trials to sales before the trial ends.
Judging LinkedIn by cost per click
LinkedIn clicks look expensive next to search. We judge it by the trials and demos it influences among the job titles and company sizes that pay the most, and cut it where it does not earn its place.
Questions SaaS founders and marketers ask us.
What should a SaaS company spend on paid search?
It depends on what a new account pays in its first year, how many trials your onboarding can turn into customers and how crowded your category is. We start from the searches that describe your product and their click costs, set a budget that follows your category’s buying season, and adjust it as activation and billing data show what each channel returns.
Should we bid on competitor names?
Often, carefully. Rival names and "alternatives" searches carry real switching intent but cost the most. We bid on them with comparison pages that answer the switching question, keep trademarks out of ad text where the platform policy restricts them, and keep the campaigns only if they bring paying accounts.
Free trial, freemium or demo?
The offer follows the price and the product. Self-serve products under a few hundred dollars a month usually sell through a trial; sales-assisted plans need a demo. We often run both, by keyword group, and let activation and close rates decide.
How long until SaaS SEO pays off?
Comparison, alternatives and use-case pages can start bringing trials within a few months; broad category rankings take much longer. We start with the pages that match the most expensive paid clicks, so SEO lowers the cost of the searches you would otherwise pay $25 or more for.
Do you work with SaaS companies outside Charlotte?
Yes. We are based in Charlotte, and most of our SaaS work is national because software buyers are. The method is the same everywhere; the category, the competitors and the buying season change.
What do you measure besides trials?
Activated trials, paying accounts, cost per paying account and first-year account value by channel. A trial count alone cannot tell a curious student from a ten-seat team, so product and billing data are part of the reporting.
